Capture the walkthrough once

Record the original conversation or walkthrough context so the team knows where the questions came from.

Split independent questions

If the owner asks about railing placement, finish color and a door hardware change, those should become separate tracked items. Each may have a different responsible person and resolution path.

Keep internal coordination internal

The owner-facing view should show their original question, current status and project response. Internal notes about subcontractor responsibility, pricing or design coordination should remain with the project team.

Let each item choose its own path

One question may be answered immediately, another may become an RFI and another may require a change order. Splitting the items prevents the slowest question from making the entire walkthrough appear unresolved.

Respond with status, not silence

Even when the final answer is not ready, the owner can see whether the item is being reviewed, sent to the PM, converted to a change or completed.

The goal is one understandable project thread.
